Migration guides
How to migrate accounting data into Odoo
There are five common ways to move a business's accounting into Odoo. They differ in how much history comes across, how long it takes and how you prove the numbers are right. OLaunch automates the full-history option for Xero, MYOB, QuickBooks and Sage 50 Accounts, with a verification report on every run.
Your options
The ways to do it, compared
| Method | What comes across | The work | How you check it |
|---|---|---|---|
| Opening balances only | Chart of accounts, contacts, open invoices and bills, and a trial balance at cut-over. | A few days by hand. The old system stays on a read-only subscription for lookups. | Compare the opening trial balance with the old system. |
| Spreadsheet import | Whatever you can export to CSV and load with Odoo's import tool. | Days to weeks for each year of history. Payments and reconciliations are rebuilt by hand. | By hand, report by report. |
| Custom scripts | Whatever a developer writes them to move. | Weeks of development, plus upkeep when either system's API changes. | Whatever checks you build. |
| Sync connectors | Apps on the Odoo Apps store mostly keep two systems in step day to day. Check how much history each one brings across. | Install and configure in Odoo. | See the app's own documentation. |
| OLaunch conversion | Full transaction history, posted and reconciled, as if the client used Odoo the whole time. | The client approves a link. The run takes 30 minutes to 12 hours, unattended. | Verification reports on every run, ready for the client's accountant. |

Planning
Before any migration
- Pick the cut-over date. The end of a month or a financial year keeps reporting simple.
- Decide how much history the client needs in Odoo. Auditors and tax offices usually expect several years to be at hand.
- Reconcile the bank accounts in the old system up to the cut-over date.
- Agree with the client's accountant how they'll sign off the numbers.

Migration questions
Opening balances are quicker to set up, but the client then looks up anything older in the old system. Full history puts every past invoice and payment in Odoo, so every report runs from Odoo.
Runs for pre-sales and testing are free, as many as you need. You pay one fixed price per database at go-live, or when you export the database to your own servers.
Most databases finish in 30 minutes to 12 hours, depending on how many transactions they hold. It runs unattended and emails you when it's done.
